All sent mails going to spam folder in Gmail, Outlook.com and Yahoo Mail

Apologies for cross-posting about the same issue here and on github. I figured more people might recognise the issue and can help solve it with me.

I have read-up and followed instructions found here and on github and happy to say I get passes everywhere (MXtools. mailtester…) yet still get send to spam folders at Gmail, Outlook.com and Yahoo Mail. Protonmail appears to be happy though.

I am using a VPS hosted with Scaleway and the IP address is not blacklisted anywhere. Even the range looks OK from my limited checks.

Hi,

I recently had an issue like this myself.

It turned out to be the age of the domain name I was using. As it was recently purchased it seems some big providers check the creation date. I ended up email google to resolve this.

I hope this helps in some way.

Thank’s X01. I have had this domain for years though :frowning:

It’s almost like I talked it up.

It appears I’m also still having SPAM listing issues.

Although I’m not on any RBL’s from what I can see. My messages are now going into SPAM with the big providers :(.

After many hours I decided to take the plunge as per Josh’s video. I’m now using DigitalOcean and so far emails are flowing a lot better.

Sorry I wasn’t able to help further Axel.

Kind Regards.

Thank you X01. I will try another version on DO to see if it is the IP block. Bit gutted to see that this otherwise superb solution is let down by issues outside its control :frowning:

What’s the situation like on Azure, AWS or Google Cloud?

Deliverability is a big issue pretty much everywhere I’ve gone, even my DO droplets have issues, I have been doing the IP juggle in some cases, on some servers I built a SMTP relay and port all my cPanel mail for shared customers through it, but more recently tied in SMTP2GO and others to help improve deliverability.

I hate that Gmail / Microsoft / Yahoo are using their own “special” blacklist formual, because it does make it hard to gauge what is causing the spam folder treatment, Microsoft so far for me has been the worst, even finding out I’m on it then removal - if there was easy SmartHost functionality on Mailinabox, I’d suggest just using a deliverability service like SMTP2GO (pretty affordable) just becoming harder and harder to self host mail these days.

Thanks for your feedback mrcbrown

I have considered using an external SMTP service in conjunction with MiaB, however I am unsure how I would need to go about setting it up?

I have now had the server running for a week and can send emails without getting blacklisted at Gmail it seems. This maybe because I added that address to one of my test accounts address books or the fact I am using the postmaster tool. Either way, it doesn’t solve the Yahoo and Outlook issues.

For MSN, Outlook, Office 365, Hotmail, etc. I often find myself submitting a removal request by filling in a form. I submitted one end of last week and had a confirmation message that it was being reviewed a couple days later then another 6 hours I got:

We have completed reviewing the IP(s) you submitted. The following table contains the results of our investigation.

Conditionally mitigated
[my Linode IP]
Our investigation has determined that the above IP(s) qualify for conditional mitigation. These IP(s) have been unblocked, but may be subject to low daily email limits until they have established a good reputation.

Please note that mitigating this issue does not guarantee that your email will be delivered to a user’s inbox.

Ongoing complaints from users will result in removal of the mitigation.

Mitigation may take 24 - 48 hours to replicate completely throughout our system.

If you feel your issue is not yet resolved, please reply to this email and one of our support team members will contact you for further investigation.

I find with Microsoft, a lot of times it is brute force filling in a form for your IP and waiting. But I’ve always been successful in the end.

I’m also going to sign up for this
Smart Network Data Service

which looks promising as it lets you administer stuff about your IP

Looks good, thanks for all the valuable comments folks.

I have now set-up a brand new email account and domain I registered this morning… on my Scaleway box and happy to report the following:

Looks like it is a matter of IP reputation, so will try to get my IP whitelisted with Y! and M$ now.

What’s the quickest way? Is there a web form to complete?

Signed-up with this too now. Bit harder to find something for Yahoo it seems.

Just found this article regarding deliverability at Yahoo…

https://help.yahoo.com/kb/SLN24439.html

^^ contains link to a form where you can submit your IP it seems

Last I checked SmartHosts aren’t supported in Mailinabox, I have an old setup which has maybe 1-2 domains on it, going to fiddle with it’s config and see if I can work something in, would be handy - but the tools you guys are noting, are helpful, but as a hosting company I’ve found lately it really is just like they are forcing the self hosters out, because I’ve monitored IP rep too - and even on systems with 100% perfect rep, Microsoft even with the SNDS blocks me out for some random reason.

Not trying to be a downer, just trying to add the mindset, this may be a bit of work moving forward.

Has anybody got a guide on how to set-up external SMTP for all domains / users on a MiaB server, please?

I think that’s the main ‘weapon’ against this type of nonsense. I offer managed mail services as a value add and I really don’t like the idea of people blocking me for no good reason

All my emails have been marked as spam now too, no idea why… Everything is setup correctly :frowning:
